Regulations of Participation
Applying for participation,you must accurately complete the Participation Application Form and sign and stamp it to grant legal effect. The Participation Application Form works as one of the Participation Contract files. After signing the form, the basic principles of participation are considered to have legal binding force as file on the applicant. Meanwhile, the applicant is also responsible for ensuring that the staff members employed during the activity are able to comply with the rules stated in the contract. In addition, specific rules regarding the exhibition and venue are stated in the Exhibitor Manual and form as part of the contract.
2. Conclusion of Contract
Return to the filled form of participation and order for booth. The leasing contract between the exhibitor and the organizer will take effect after the organizer confirms the booth.If the content of the booth confirmation does not match the content of the application, the contract will be concluded in accordance with the booth confirmation.
The organizer reserves the right to cancel, delay or change the venue and shorten or extend the exhibition time, as well as the rights to arrange for other booths or adjust the booth area for exhibitors out of technical and officially recognized mandatory reasons.Therefore the cancellation of the contract by such action is not accepted.
4. Exhibition Admission & Booth Confirmation
Entering permission of exhibitors and listed exhibits will be totally handled by the organizers and will be relatively confirmed by exhibitors in the booth confirmation.The participation contract has legal binding force over entering permission. The reservation terms or conditions specified in the application form are void unless confirmed in writing by the organizer.Out of consideration of space condition, the organizer reserves the right to refuse to accept individual to participate in the exhibition, especially when the available booth is not enough. Or in order to ensure the effectiveness of the exhibition, the organizer may limit the participation of specific individual exhibitors or suppliers. The Organizer reserves the right to restrict changes on booth and applied exhibits. Admission permits are only applicable to the exhibits, exhibitors and booths specified in the application form and participators shall not exhibit any goods other than those permitted or listed in the application.
5. Booth Allocation
The booth will be allocated according to the theme and plan of the exhibition, and will be limited by the booth resources. The organizer will take as much consideration as possible for the booth location request in the application form. The order in which the application forms are submitted is not the only determining factor in the allocation of booths. The organizer reserves the right to change the size, shape and location of the allocated booths if necessary. If possible, the organizer will provide a similar booth in other parts of the exhibition, and promptly notify the exhibitors.
6. Co-exhibitors are required to pay fees due to relevant regulation. The main exhibitor shall ensure that the co-exhibitor is fully responsible for the fulfillment of its commitments.
7. Booth Rental, Payment Terms & Booth Lien
Rental fee is as shown in the application form. The exhibitor shall pay the advance payment for the booth reservation in accordance with the application form. Prepayment is due within one week after receiving payment notice from the organizer. The total balance must be paid within one month prior to the exhibition. Exhibitors are required to pay in accordance with the payment terms and dates on the advice of payment. The allocated booth will be redeemed only after the full payment has been made, and only if the complaint is filed within 14 days after the payment is made will it be considered. The Organizer shall have the right to exercise booth lien after written notice of its intention and to sell any seized property in the open market. The organizer shall not be liable for any damage to the seized goods, unless intentionally or by gross negligence.
Only advertisements for companies and exhibits are permitted in the area where the exhibitor has leased, and such promotion must be listed in the application form and approved by the organizer. To promote by using equipment to enhance visual and or auditory effect is required to obtain the written consent of the organizer. Any advertising of a political nature or competitive promotions are prohibited, unless approved by the organizer.
9. Photographs,Images & Video
The organizer reserves the right to make photographs, images and films for the exhibition, exhibits, exhibition structures and booths and use them for publicity or publication, to which the exhibitors can not object due to any reason. This also applies to photos that have been agreed to be produced directly by the publisher or through the television by the organizer. Exhibitors are not allowed to make booth photos, images and films of other exhibitors.
10.Canceling Participation, Canceling contracted services & Application for reducing booth size
The Organizing Committee reserves the right to use the booth area that has been withdrawn by the exhibitor for other purposes and to lease it to a third party if the exhibitor cancels the application, the contracted services or reduce the booth area. After the Organizing Committee confirms the application for withdrawal of participation, the exhibitor shall bear a certain proportion of rental or service fee, details as follow:
*Withdraw over 90 days prior to the opening of the exhibition will be charged 50% of total fees.
*Withdraw between 30-90 days prior to the opening of the exhibition will be charged 80% of total fees.
*Withdraw within 30 days prior to the opening of the exhibition must pay for all charges.
The above provisions do not apply to exhibitors who are forcibly withdrawn or canceled for legal reasons. Exhibitors are obliged to bear all expenses if the organizer can not lease the booths to third parties due to unilateral reasons of the exhibitors. The Organizing Committee reserves the right to make claims for other damages. Cancellation of the Exhibitor may only take effect upon the written consent of NMC.
11. Withdraw Entering permission or Booth confirmation
The organizer reserves the right to withdraw exhibitors’ entering permission and lease the booth to other exhibitors in following situations:
*The exhibitor doesn’t make on-site registration and begin to set up booth construction before 3pm. of the last day of construction period.
*The payment of booth rental fee can not be made within the agreed time, and still fruitless after the organizer grants the days of grace.
*Registered exhibitor doesn’t abide by the terms specified on booth confirmation or is found that the participating situation of which is not in accordance with relevant regulation.
*The exhibitor violates regulation of the exhibition venue.
The organizer reserves the right to claim for exhibitor’s damage.
12. Removal of Exhibits
The organizer reserves the right to remove goods not listed in application form or proved dangerous, disturbing, indecent and violating intellectual property rights. The above goods will be removed by the organizer if the exhibitor doesn’t abide by this principle, who shall also pay for charges produced.
13. Booth Construction, Equipment Set-up & Move-out
Booth construction must conform to the general layout of the exhibition. The organizer reserves the right to prohibit the establishment of an inappropriate stand or to supervise the modification of the exhibitor's investment over the construction.
During the exhibition, all the equipment of the booth shall be installed by qualified professionals at the designated time. It’s necessary to complete the construction of the stand and clear all the packing materials of the stand within the allowed time limit.
Exhibitor’s firm name and address must be clearly displayed in booth.
Heavy exhibits must be approved by the Organizing Committee.
Ornament on the ground of exhibition venue is prohibited.
After the exhibition, the basic objects provided by the organizer must be returned to ensure that they are not damaged and remain in their original state. Damage due to negligence or failure to report to the organizer immediately upon the occurrence of the damage shall be compensated by the exhibitor. Exhibits that remain in the booth beyond the time allowed for move-out of the stand shall be cleared and stored at the exhibitor's own expense.
Removing exhibits and booth dismantling before the exhibition ends are prohibited. The organizer reserves the right to give the exhibitor a fine of RMB 1,000 yuan or cancel the exhibitor's qualification for participation in the next year if the exhibitor withdraws or removes the exhibits in advance.
14. Force Majeure
If the exhibitor is not able to participate in the event due to the exhibitor or the organizer (force majeure), the rental fee is reduced by half. If the organizer can not hold the event due to force majeure, the exhibitor shall be notified immediately without delay. In this case the claim for booth rental fee is void. However, in the event that the exhibitor is still interested in exhibiting, the organizer may charge the exhibitor a certain amount fee for the completion of the reservation. If the organizer can hold the exhibition in the later period or other places, the organizer shall notify the exhibitor immediately without any delay. Exhibitors have the right to cancel the exhibition within one week after receiving notice of the change of exhibition time or place. The exhibitor shall not require the payment or cancellation of any booth rental fee if the organizer is forced to shorten or cancel the activity due to force majeure after the commencement of the exhibition.
15. Exhibitor badges are valid during constructing, exhibition and dismantling period. Each exhibitor will receive badges free of charge, depending on the size of the booth and the number of staff. Exhibitors who place an order for 9 ㎡ are entitled to receive 3 badges free of charge. Each additional booth of 9㎡ will receive one more badge free of charge. Exhibitors can receive up to 10 badges.
During the construction and dismantling period of the exhibition, the construction management department of the exhibition hall shall be responsible for the supervision and administration of the permit badges of the construction and freight personnel. The validity of these permit badges is limited to booth construction and dismantling period, not including the exhibition period. These badges will be printed with personal name, not transferable, and will be valid only presented with personal ID cards. Abuse of construction permits will be revoked.
The organizer will conduct a comprehensive supervision at the exhibition center. This should not affect the liability provision No.17. Exhibitors are strongly advised to take appropriate measures to ensure the safety of their booth and exhibits and cover relevant insurance for them. Valuable items that are easily mobile should be kept properly by exhibitors yourselves.
The exhibitor may, at his own expense, entrust the service contractor appointed by the organizer to provide additional booth supervision.
17. Liability, Insurance & Accident Prevention
The Organizer shall not be liable for any damage, theft or other damage to the exhibits or the booth equipment during the exhibition period. Exhibitors are strongly advised to cover relevant insurance for their goods.
The organizer reserves the right to ban the machine and or operation and display of the equipment.
18. Protection of Intellectual Property
It is every exhibitor’s responsibility to protect the copyright and other patent of the exhibits with support of the organizer.
19. Regulation of the Exhibition Venue
Exhibitors shall agree to abide by the rules and regulations of the exhibition venue during the exhibition. The instructions of the organizer staff wearing work permits must be observed. If the exhibitor violates the basic rules of the exhibition or of the exhibition hall and continues to violate after the warning, the organizer has the right to close the booth immediately. The risks and expenses are borne by the exhibitor and do not enjoy the right of claim.
20. Data Preservation
The organizer and exhibition service providers (if applicable) are responsible for collecting, dealing and using personal information.
21. Region of Implementation and Jurisdiction
Beijing and Kunshan, China are regions of implementation and jurisdiction.
